But they ignore the basic criteria of transcription quality. Often this results in lot of corrections and errors. Hence; there is a need for a synchronized effort comprising of different quality aspects which results in delivering effective medical transcription service:
  • Process: Pay attention to the processes followed by the medical transcription company. Most of the transcription companies enumerate their transcription processes on their websites. Others will gladly explain the process if you call and ask them about it.
  • Accuracy: Always ask for the accuracy of the transcribed document. Please note that the average rate of accuracy in transcription industry is 98.5%. Always compare this figure with the accuracy rate provided by transcription company.
  • Corrections: Please note that transcription companies should not charge you for the corrections. In fact they should have a clear process for handling corrections. If the transcription company does not have a pre-defined process for handling corrections then it is always advisable not to go ahead with the contract.
  • Patient Name Errors: These are some common errors which occur during the transcription process. Clarify with the transcription company whether they have a clear process for avoiding and correcting these errors.
  • Turnaround Time: Generally medical transcription companies provide 24 hours turnaround time to their clients. There are certain companies which provide medical transcription services in even lesser time but with some additional charges. Always note that a shorter turnaround time does not guarantee quality transcription. Select turnaround time which suits your needs instead of shortest turnaround time with lowest price.
  • Reputation & References: Always ask for references from the medical transcription companies irrespective of their establishment. Remember that your basic objective of asking for references is to understand whether the medical transcription company can provide the desired services in respect to your dictation speed and accent. Ask for references of clients who are currently using such services, so that you can get a clear picture of the capability of the transcription company.
  • Electronic records and compatibility:Documentation in electronic format has become quite essential nowadays. Hence; it is always advisable to confirm with the medical transcription company if they can provide the documentation in electronic format directly into eMR. Please note that MS Word and RTF format documents are most popular and will have the best support in Electronic Record Systems.

  • Line Definitions: Always ask the medical transcription company about the number of characters or key strokes in a line. Normally a line constitutes of 50 to 65 characters or key strokes. This is an industry norm for a line definition. Even blank lines and lines with single words will be charged.
  • Minimum volume contracts: Avoid contracts that specify minimum number of billable lines per month. This is very important because if in case you do not use the transcription service for that given billing cycle you will still end up paying for the services that you did not use.

ezDI logo 300x175 ezDI Makes the Case for Mature Analytics in Healthcare Cost ContainmentAs a leader in the field of healthcare analytics, ezDI has constantly escalated in the dimension of the market and business intelligence. The present director has shared the preview of the healthcare cost containment with the industry recently. According to the esteemed director, plans formulated by most companies do not exactly have the required level of maturity that is demanded by most employers. Putting light on the making of the case for better and well sophisticated healthcare informatics, the director argues that existing plans do not address the needs and requirements of the Affordable Care Act. In his presentation, he meticulously talks about cost containment and its importance to health care executives. The changes in the pattern are due to the notable health care reform, which according to the company is indispensable.

“Plans that do not move towards centralized tools, stronger analytics, and process integration will pay the price, and will leave potential cost savings on the table due to redundancy and inefficiency,” says the director. “The time now is to objectively assess how your efforts stack up,” he says, talking about the increasing pressure on various groups effected.

The company officials talks about the importance of right evaluation to healthcare executives. “There is a need of evaluation by using the best practices of the industry and self-assessment with five components in the core of sophisticated analytics initiative,” argues the present director. The first component is the goals and priorities which define if the cost containment goals are clear and the required measurements are in place. Second component of prime importance is the analytical tools and their nature. It is also necessary to know if skilled and analytical talent is available for the development of cost containment action plans, which is the third component. In the fourth component, the company talks about the commitment of business areas for cost containment. The powers of executive leader in leveraging a cost-functional team are another key aspect. In the fifth and final component, the case study deals with the budget and the ability to acquire tools.

In the core, the company has been highly successful in using data from EMR and Transcript files for drawing various conclusions. The data that has been used from EMR and Transcript has been converted into a single structured format, which has enabled every user to draw better conclusions from the information. The entire process will power various groups to query and analyze the data available for better and thoughtful decision making. The core advantages of the case include substantial reduction in the cost and saves time on the base studies. The physicians will also be benefited as they can suggest the best medicine to patients as per requirement.

The Importance Of Transcription In The EHR Age

In preparation for the AHIMA (American Health Information Management Association) Conference next week, my publisher and I have been speaking with several transcription services companies that will be exhibiting at the show. Since Healthcare Technology Online is a new media outlet, these conversations typically begin with us describing the focus and purpose of our website and weekly email newsletters. In more than one instance, a representative from a transcription company questioned our interest in their services. “We’re not a technology company,” they’d say. “I don’t see how our content and offerings would be of interest to your audience.”

This response floored me. While it’s true that most transcription companies offer outsourcing services as opposed to hardware or software technologies, these companies still play a vital role in healthcare IT — particularly as more healthcare facilities migrate to an EHR (electronic health record).

Transcription: The EHR On-Ramp

Some proponents of EHR suggest that template-driven electronic documentation capture is the best approach to realize the benefits of EHRs. However, this approach often forces the process and behavioral changes that have been primary barriers to EHR adoption. Furthermore, relying on a physician to key information into an EHR or select data from a series of drop-down menus while with a patient can lead to human error, inaccuracy, and incomplete information.

Using a “migratory” approach to EHR can help you avoid these potential pitfalls. With this approach, physicians can continue to interact with patients the way they always have and continue to leverage their existing dictation and transcription processes. However, getting voice data into a transcribed format that can be seamlessly integrated with or digested by the healthcare facility’s chosen EHR platform becomes a required capability of the transcription services company. In response to these growing EHR integration needs, most transcription services companies leverage the latest NLP (natural language processing), XML (extensible markup language), and HL7 (health level seven)-compliant technologies. These tools can create templates for data entry that automatically populate an EHR. In other words, data is tagged according to the report’s format and the NLP’s output and uploaded directly into the EHR in the appropriate place. It then becomes simple for the transcriptionist to perform a quality check of the data to ensure it matches physician instructions and the requirements of the EHR. In this way, the transcription provider truly serves as a healthcare facility’s on-ramp to an EHR.

Key Transcription Provider Criteria

Ensuring that the transcription service company you select can deliver data that can easily be fed into your EHR is just one step of the process. Other areas to consider when selecting a transcription services company include:

  • guaranteed compliance with HIPAA (The Health Information Accountability & Portability Act) when it comes to handling the protected health information of your patients
  • storage in a mission-critical data center that provides 99.99% uptime and security
  • a guaranteed transcription accuracy rate of 99%
  • multiple levels of quality assurance
  • transfer of files through FTP (file transfer protocol) or browser-based secure 256 bit AES (advanced encryption standard) encrypted file transfer protocol
  • 24/7 technical support

Again, while not a “technology” in and of itself, medical transcription is a vital part of adopting EHRs and other healthcare information management processes. Transcription companies will provide the industry with the guidance and support necessary to accelerate EHR adoption and help us to embrace the electronic age of clinical documentation.

Association readies for EHR advocacy summit

The proven ability for medical transcription to facilitate accurate, cost-effective EHR adoption will be the key message brought by the members of the Association for Healthcare Documentation Integrity (AHDI) and the Medical Transcription Industry Association (MTIA) to federal legislators on Capitol Hill when the associations convene in Washington, DC, for their annual Advocacy Summit. With the HITECH Act, the Obama Administration’s high priority on nationwide EHR adoption has opened an opportunity for the transcription sector to educate the current Administration and Congress about the need for contemplative, prudent migration to the EHR – one that preserves the role of complex narrative and engages human intelligence in ensuring the accurate, secure capture of patient healthcare encounters.

The Advocacy Summit, being held June 3-4, 2009, in Washington, DC, will focus on the need for standards and regulations in EHR technology integration/adoption, the role of transcription in safeguarding protected health information (PHI), and the need for workforce development funding in healthcare documentation to ensure a knowledgeable, prepared next gen workforce that is capable of functioning in the quality assurance role the EHR will demand.

“Healthcare can ill afford a knee-jerk reaction to the EHR requirements of the HITECH Act,” states Peter Preziosi, PhD, CAE, AHDI/MTIA chief executive officer. “Successful EHR adoption and meaningful interoperability hinge on healthcare’s ability to set standards that promote efficient, cost-effective, quality-driven data capture solutions. The transcription sector is uniquely positioned to offer healthcare delivery the means to make that happen, and that’s what we’ll be sharing with this new Administration and the new Congress.”

The associations will take to the Hill their Transcription: Proven Accelerator to EHR Adoption whitepaper, which includes compelling statistics that demonstrate (a) the loss of income to physicians who integrate EMR/EHR technologies ineffectively, (b) the critical role of transcription technology solutions in facilitating better EHR adoption, (c) the value of solutions that create “rich, interrelated narratives” rather than cookie-cutter records, and (d) the irreplaceable role of a knowledge worker in data integrity management
